Case Study 5. Paper to Electronic Document

Client

Royal Mail Group plc.

Requirement

To recover components lists and diagnostic information for complex capital equipment that may be in service for 10 or more years.

Existing paper was poor quality photocopy of illustrations and lists. These need to be captured and formatted to in-house style in text-searchable PDF files for distribution via intranet.

Project extended to around 20 bound volumes.

Method

  1. All material is scanned and stored as images.

  2. Text is OCR-processed (Optical Character Recognition) to derive searchable text in Microsoft Word

  3. Illustrations are placed in Word text and sized, as appropriate. Some new illustrations were created where original copy was judged too poor

  4. Automatic Tables of Contents/Cross-references etc. are installed.

  5. Word document is post-processed to PDF format for distribution

  4. Prints to paper exactly as seen on screen

  5. Documents are navigable using point and click on hyperlinks (in blue)

About PDF Files

PDF (or Portable Document Format) is an industry standard document format. PDF files can contain text and graphics (technical, photos etc.) and they can be read on a wide range of computers.

The PDF format is particuarly suited to highly detailed applications (e.g. containing technical or other complex illustrations) when zooming in to retrieve detail is important. PDF also allows faithful retention of format when documents are printed to paper.
